Booking
We receive documents via fax, mail, or electronic files and input all relevant lease/loan information into the lease accounting system to insure a proper handling of all life-cycle transactions in your portfolio. We audit and reconcile all documents to reflect proper accounting and tax treatment.
Cash Posting
All payments are received at a designated lockbox of the client's choice. Cash applications are made to the appropriate accounts from daily reports from the lock-box administrator.
UCC's
We assist in perfecting our clients security interest in the underlying collateral by filing and monitoring the appropriate UCC1 and UCC3 documents with the correct jurisdictions.
Maintenance
We handle all related changes to customer address, name, contact, and tax status information. Any amendment to the lease obligation will be adjusted in the system.
End of Lease
We can assist customers by quoting early buy-outs or end-of-lease options. All requests can be handled directly or sent through the lessor for final approval.
Training
We support our client with initial training on system navigation and screen options for access to their portfolio data. Ongoing training is available on an as needed basis or as changes occur with system or software enhancements
Sales/Property Tax
We provide complete sales and property administration. Tax reports are prepared, filed and paid with each related tax jurisdiction.
Invoicing
Our private label invoices are generated on any billing date or cycle required by our clients. Each invoice is customized to include company logo and personalized messages.
Customer Service
All customer inquiries can be directed to our customer service agent acting on behalf of your company. Specific toll-free numbers will be set up and noted on the invoices. We will respond to all phone and written requests regarding invoices, late fees, credit reference, and buy-out quotes.
Reports
Client has full access to standard system generated and customized reports on portfolio performance data via a secure Internet web portal called iVirtuaLease™. Client's can have real-time access to vital account information. Reports can also be generated and transferred via mail.
Collections
We work with your established collections policies and procedures to collect all outstanding invoices. Our goal is to minimize the rate of delinquencies and maximize the return on your portfolio.
Insurance
We will track and follow-up for proof of insurance coverage on all portfolio assets. Notices can be sent to lessees who do not comply with the required insurance coverage.
Accounting
Prepare General Ledger entries and related financial statements related to client's portfolio.
Document Storage
Copies of all lease documentation and related UCC filings and title information will be stored and maintained in secure file cabinets as well as scanned in electronic format for future access.
